iP2Biz Administrative Assistant (Part-Time)

iP2Biz clients are Forbes 2000 manufacturing companies located all over the world; we work directly with C-suite executives and their teams to augment their ability to drive growth through innovation. Our firm is growing and currently has 3 partners, 3 employees and a number of interns who are generally students at Georgia Tech. Our offices are located on the 9th floor of the historic Biltmore Hotel at 817 West Peachtree Street, directly adjacent to Technology Square.

We are looking for a responsible, part-time Administrative Assistant to perform a variety of administrative and clerical tasks. The job would start at $20/hour for 20 hours a week (4 hours a day), but could grow over time. The job location is in our Midtown offices, and the role does not include benefits. Duties of the Administrative Assistant include providing support to our partners and employees, assisting in daily office needs and managing our company’s general administrative activities. If your skill-set extends into more advanced writing and editing, graphic design, WordPress website development/maintenance or other areas where we have needs, there would likely be opportunities for you to exercise these skills (though such experience is in no way required).

Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and have significant experience working with Outlook, Word, Excel and PowerPoint. SharePoint and Salesforce experience is preferred but not required.

Responsibilities

  • Organize and schedule appointments
  • Manage company vendors for phone, Internet, water, software, hardware, etc.
  • Schedule and manage maintenance work, parking passes, etc. with landlord
  • Manage the administrative on-boarding of new employees
  • Work with the company bookkeeper to cut checks, manage files, etc.
  • Plan meetings and take detailed notes
  • Write and distribute email, correspondence memos and letters
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors

Requirements

  • Experience as an Administrative Assistant or a background indicating that you could handle the job
  • Knowledge of office management systems and procedures
  • Working knowledge of standard office equipment like laptop computers and printers
  • Proficiency in MS Office
  • Proficiency in Internet research
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree required, college degree preferred; additional qualification as an Administrative Assistant or Secretary would be a plus
